How does subscription billing work?

Pricing is per user, allowing you to back up the user's M365 mailboxes, OneDrive, SharePoint, Team Chats and endpoints.

All entities within the entire Microsoft tenant that are assigned a Microsoft 365 License granting functionality for either Exchange, Teams, SharePoint or OneDrive, regardless of their active use, are subject to 365 Total Backup (formerly Altaro Office 365 Backup) licensing. The highest usage amount of the month will be reported and charged.

This means any object in the Microsoft tenant without an assigned Microsoft license, but using a functionality of Exchange, Teams, SharePoint or OneDrive, will be free of charge

Shared mailboxes, resource mailboxes, distribution lists and other entities will be free of charge when no Microsoft license is assigned; this also applies to stored backup data where no Microsoft license is applied, even if it is being actively backed up.

What does pricing include?

Pricing is per user per month. It is a single fee that includes:

  • Mailbox backup
  • Teams Chat backup and backup of the files shared within chats
  • OneDrive Account and SharePoint Document Library backup
  • Backup of files on Windows-based endpoints
  • Unlimited storage of backed up M365 data
  • Access to a multi-tenant, cloud-based management console for centralized management of all your customer accounts
  • 24/7 technical support

(Storage of endpoint backups is not part of the license: Save these to your own MS Azure account and bill each customer for storage used, adding another revenue stream over and above the backup service itself.)

You can also back up 10 of your own endpoints for free per month; this is provided for your own internal use – not for resale; not for use on customer networks.

There's a starting subscription of up to 30 users a month across all your customers combined. You can scale up to tens of thousands of users.

Are there no storage costs?

When it comes to Microsoft 365 backups, unlimited storage to our secure infrastructure is part of the monthly all-inclusive price per user.

As for endpoint backups, these are stored to your own MS Azure, meaning you can charge your customers for backup storage. We do not store the backups you take and therefore we do not include storage in the monthly subscription fee.

Do you charge extra when I perform a restore for a customer?

No. We charge one all-inclusive price per user per month.

What if I do not have a minimum of 30 users to back up each month?

You can start with as few users as you wish. Our starting subscription includes up to 30 users a month.

Do I have to subscribe to VM Backup for MSPs as well as 365 Total Backup (formerly Altaro Office 365 Backup for MSPs)?

No. The two are separate products and you can subscribe to one of these solutions without needing to subscribe to the other. If you wish to subscribe to more than one of our MSP programs, you can select which backup services to add or remove per customer, benefiting from flexibility, convenience and one centralized monthly invoice.

Do I need to manage each backup solution separately?

We enable MSPs to manage different kinds of backups – like VMs, Microsoft 365, physical Windows servers and network endpoints – across all their customers from a single pane of glass, simplifying their life.

This is possible through our Control Panel, a ground-breaking, multi-tenant online management console; this is a powerhouse for MSPs, which also provides centralized billing, with one convenient monthly invoice for the various backup services used by different customers. MSPs pay per user (or per VM and per physical server) and receive award-winning 24/7 support as part of the package.

Do I need to download or install anything to trial 365 Total Backup (formerly Altaro Office 365 Backup for MSPs)?

There's no installation necessary: Simply sign up and connect a Microsoft 365 account. M365 backups are taken automatically and saved to one of our secure data centers in the region you choose per customer (when adding new customers).

For endpoint backups, your first step is to sign up to the 365 Total Backup (formerly Altaro Office 365 Backup for MSPs) application in our multi-tenant online Control Panel and then select EndPoint Backup. You also need to download the EndPoint Manager and the EndPoint Agent, available as part of your subscription:

  • The EndPoint Manager is server software that you must install on your premises or on a cloud VM; use it to manage operations and configure endpoints.
  • The EndPoint Agent is the software deployed to an endpoint (such as a Windows laptop or desktop PC) to perform backup or restore operations. Using scripts, you can deploy several agents at once rather than needing to install each agent manually.

How many users can be backed up?

Any number of users can be backed up. There's a minimum starter pack covering up to 30 users per month across all your customers.

During the 30-day trial, however, you can back up a maximum of 30 users and up to 30 SharePoint sites per customer. Should you wish to increase this during your trial, please click here to send a request.

How frequently are M365 backups taken?

M365 backups per user and SharePoint Document Library are taken multiple times a day. This is seamless to the user and takes place automatically – no interaction is required on the user's part.

Can I use 365 Total Backup (formerly Altaro Office 365 Backup for MSPs) to back up Microsoft Teams?

Yes. You can back up and restore Teams Chats and the files shared during chats.

Where is my M365 backup data stored?

When adding new customers, choose whether to store Microsoft 365 Backup data in locations such as the USA, the UK or Germany. More locations will be added shortly. Click here for more information.

Can we use our own storage for our M365 backups instead of your data centers?

Microsoft 365 storage is included in the price per mailbox per month. Data is automatically stored in our secure data centers – in the region you choose per customer. It is not possible to store the data elsewhere.

If we delete the Office 365 user but want to keep the data, can we keep the backup?

Yes, there is an option to stop backups and retain the data. As long as the subscription is active, the content will be retained.

How long is backup data retained?

You have the option to set up custom retention periods, allowing for maximum compliance with your internal policies. This allows for adherence with several frameworks and regulations such as ISO27001 and the GDPR.

What security mechanisms are in place to protect storing and transmission of data?

All backup data is protected by AES 256-bit encryption at rest.

All data transmissions with third-party APIs (e.g., Office 365) occur over TLS encryption.

All authentication user interaction (login, setting changes, subscription management and accessing backed up data) occurs over TLS encrypted channel.

Administrative access to our infrastructure is controlled through role-based access and centralised account management that provides improved monitoring of accounts and access.

Our engineering teams proactively monitors and maintains the infrastructure 24/7.

Does 365 Total Backup (formerly Altaro Office 365 Backup for MSPs) back up OneDrive and SharePoint?

Yes, files stored within OneDrive and SharePoint Document Libraries can be backed up, with the backups being stored securely.

Will you do backup for Gmail?

Currently there are no plans to support G Suite (Google's office suite, including mail service).
